About the Role:
This role provides ongoing
system support and training to enhance the effective use of business
information and reporting systems. It works closely with the Applications and
End User Support Teams to manage the setup, maintenance, and removal of access
to various business information systems..
Additionally,
this position supports user acceptance testing (UAT), delivers training,
creates help guides, and communicates business and system changes to the
Applications team, contributing to multiple implementation and continuous
improvement projects.
Key responsibilities:
- Responsible for setting up, maintaining and removing
access to a range of different business information and reporting systems, conducting
and documenting regular user access audits.
- Develop and maintain an in-depth understanding of
PeopleKind Group’s application architecture and system integrations.
- Facilitate application training
for new employees including Client Management Systems, Document Management
Systems and Microsoft applications to ensure they are equipped to perform the
duties of their roles.
- Provide level 1 helpdesk support
for employees by responding to problems and requests, escalating issues as
required to ensure timely resolution of tickets.
- Provide support in
diagnosing, troubleshooting, and resolving issues, ensuring detailed
documentation of all support activities and solutions implemented.
- Contribute to and support application
implementation
and improvement projects including upgrades,
patches, bug fixes and new features.
- Responsible for monitoring
and administering PeopleKind Group’s records and document management system,
including the creation and registration of both physical and electronic files.
The position ensures that files are organized according to PeopleKind Group’s
classification plan and that archiving, and disposal processes are carried out
efficiently and in line with agreed schedules.
- Provide support for the
efficient administration of the Controlled Document Management System (CDMS),
assisting with the creation, review, approval, publication, and archiving of
controlled documents, as well as delivering training to users when necessary.
- Assist with essential
reporting functions including generation of reports and extracts from key
business information systems as required, including for internal and external auditing
processes.
- Organise and contribute to
the placement of documents, articles and files on the intranet and other
relevant systems.
- Assist the Scheduling teams with the administration and management
of daily tasks related to workforce management systems, as required.
What is required:
- Experience
in providing helpdesk style support for IT/Application systems.
- Experience
in delivering IT/Application related training (2 years) to a range of
stakeholders, ideally in the community services sector.
- Considerable
experience and skills in the use of a range of software including Microsoft
Office, Salesforce, and electronic records management systems.
- Demonstrated
experience in building knowledge of client management systems and other
business information systems.
- Experience
in document and records management including retention and disposal.
- Sound organisational
skills with the ability to manage workload, demonstrate initiative and
work under pressure to meet deadlines.
Desirable:
- CRM
system administration experience.
- Experience
in the use of digital learning tools and platforms for development of training
and learning materials.
